General Meeting

January 30, 2003

Call to Order 7:20 p.m. with prayer by Harvey Lyons.

Attendance

Warren Lee, Jerome Caulk, Russ Cuffee, Malthus Northcutt, John Nelson, Dan Evans, Roy Rogers, Lorenzo Dixon, Andy Flye, Thomas Sweeney, Joe Long, Bill Brooks, Bryan Roberts, Lorenzo Brown, Howard Aldridge, Calvin Harris, Eddie Mayberry, Rick Heiskell, Ivan King and Truman Thomas.

National President’s Report

Dates for the 2003 Spring Fling are May 2 -4, 2003; $390 double occupancy; Washington is host chapter; Holiday Inn Select, Chantilly, VA close to Dulles airport; great rate great courses.  Planned attendance of at least 40 with expected attendance of 80.  We should receive registration materials prior to our February general meeting.

National meeting is scheduled for September 25 – 28, 2003. The Hilton Head Marriott Beach will be our convention hotel and the rate for double occupancy is $419. For additional information please visit our web site www.produffersusa.org.

Our club is losing our leading edge status due to our poor attendance at our national and spring fling events.

Financial report

General fund beginning balance of (8/31/02) $20,516.14 plus receipts of $4,840 minus expenses of $20,473.58 leaving an available balance of $4,882.56 plus a savings balance of $2,154.12.  Major expense was payment to Castle Hills GC of $15,997.60. Report accepted as information only.

Tournament account showed an available balance of $2,000.00 with no outstanding debts.  Report accepted as information only.

New Member Introduction

The following new members were in attendance – Bryan Roberts, Ivan King, Lorenzo Brown, and transferring from our Little Rock chapter Bill Brooks.  New members Hollis Brashear and Ed Lloyd where not in attendance with no notification given, therefore, if they do not attend the February general meeting the club will withdraw its’ invitation.

Proposed Budget

On motion duly made and seconded the body approved 2003 dues of $175.00.  All dues must be paid in full by our March general meeting. Invoices for dues will be mailed to all members during the month of February.

Emeritus Status

Emeritus status was granted by the club to John Nelson, member since 1983.  Congratulations John.

2003 Benefit Tournament

Chairman Cuffee presented general observations, however, we will approve the 2003 benefit plan at the February general meeting.

2003 Tournament Schedule

Tournament director Jerome Caulk presented proposed dates for our 2003 schedule, after discuss and by consensus, our schedule with formats, prizes, and uniforms will be posted on our web site.

Uniforms 2003

The club will have four (4) official uniform shirts for 2003.  We will retain the Cutter & Buck white and cranberry (red) shirts and purchase two (2) new shirts.

Any member who wishes to have the select a particular shirt or two, please bring a sample shirt and the total prize, including additional for larger sizes and monogramming of our logo and name. We will make our final 2003 decision February meeting.

2003 Point System to Maintain Active Status

Eddie Mayberry and Truman Thomas will present to the body for our approval the 2003 point system, as discussed in the November general meeting, during the February general meeting.

Meeting Notice

The club was informed that although most of our members have emails, it takes about two weeks for all members to open and receive their information.  Therefore, by consensus, the club agreed to augment emails with postcards, encourage members to check their emails at least every 48 hours, and to assign members with email addresses to members without email addresses.

20th Anniversary Celebration(s)

Dan Evans will bring proposal to our next meeting. If you have ideas or suggestions or want to work with Dan, please contact him before the next meeting.

Pro Duffer Southwest Code of Conduct

Dan Evans agreed to chair a committee consisting of all club founders and past club president whose charge is to produce a written code of conduct.  The club already has an unwritten code the committee will reduce that code plus their ideas to writing.

Pro Duffers Southwest Scholarship Foundation

A Texas non profit corporation that has been dormant for a number of years will be the vehicle used to create a IRS recognized 501 (c)(3) organization.  The sole purpose is to help fund Pro Duffer Southwest authorized community benefit activities.

Notice of future General Meeting

The club will meet monthly in the Wells Fargo bank conference room the fourth (4th) Thursday of every month, with the exception of October (retreat) and December.  All meetings will start at 7:00 p.m. and end no later than 9:00 p.m.  Please come and please be on time.
